The CBO Mail Room Specialist is responsible for processing incoming and outgoing mail and packages for internal and external distribution. This includes metering outgoing mail, operating, and maintaining equipment, recording postage and overnight  delivery expenses, mail distribution, ordering supplies, and other clerical duties.

Responsibilities

  • Process all outgoing mail using the mail meter, making sure it is done prior to mail pick up daily
  • Pick up and deliver mail to post office (when applicable)
  • Ensure accounting allocation of funds using the mail meter
  • Prepare and send all over-night packages for the Central Business Office (CBO)
  • Sort and distribute interoffice mail
  • Order and maintain supply inventory (paper, envelopes, office supplies, etc.)
  • Operate and maintain Pitney Bowes equipment
  • Track postage expenditures postage by phone
  • Record and maintain records of information such as charges and destinations of insured's, registered mail, or C.O.D. packages
  • Inspect wrapping, addresses, and appearances of outgoing packages or letters for conformance to standards and accuracy
  • Answer inquiries regarding shipping or mailing policies

Qualifications

  • High school diploma or GED equivalent
  • Customarily has at least six months of demonstrated general office experience

  • Ability to make decisions or solve problems by using logic to identify key facts, explore alternatives, and propose quality solutions
  • Outstanding customer service skills as well as the ability to deal with people in a manner which shows tact and professionalism
  • The ability to properly handle sensitive and confidential information (including HIPAA and PHI) in accordance with federal and state laws and company policies
  • Familiarity with Microsoft Excel, Outlook, Word experience required
  • Ability to perform arithmetic calculations of addition, subtraction, multiplication, and division
  • Ability to alphabetize
  • Familiarity with mail meter machine
  • Familiarity with UPS, FedEx, and Airborne packaging
  • Ability to communicate effectively
  • Excellent time management skills
  • Demonstrated good written and verbal communication skills
  • Strong attention to detail
  • Ability to meet daily, weekly, and monthly deadlines and adapt to changing environment

This position may require continuous to frequent stooping, pushing, pulling, twisting, reaching, or overhead reaching, and climbing in the performance of work. The ability to hear and understand with clarity and detect sound, and have conversations with staff, customers, management, etc. Hearing within the acceptable range for telephone and in-person contacts. Normal or corrected vision to acceptable levels for office work. The ability to constantly lift/carry up to 50 pounds using the appropriate lifting techniques/mechanisms (Buddy System or manual/mechanical lift/cart).


Work is performed primarily in an office environment. Involves frequent telephone contact with clients, staff, and management. Position requires flexibility in working hours. Must be able to effectively resolve conflicts as they arise. In this position, the employee may have imposed pressure on a routine and frequent basis to meet various deadlines, contact with people in stressful and unpredictable situations and to handle confidential and sensitive information and situations with care.

This position is eligible to earn a base compensation rate in the range of $21.00 to $23.00 hourly depending on job-related factors as permitted by applicable law, such as level of experience, geographic location where the work is performed, and/or seniority.
