The Leave Specialist is responsible for assisting in the development and delivery of Human Resource services, specifically in the area of multi-state leave of absences, disability, and ADA administration.

 

Responsibilities

  • Update company policy and procedure related to leave and disability, and work to establish and adjust processes as needed related to the new leave model with Concentra and MetLife.
  • Primary point of contact with MetLife to coordinate timely responses to all requests for leave of absence. This includes a formal letter approval/denial, FMLA employer response form & physician certification form (as required), applicable leave of absence policy, and information related to any required payments for benefits during leave of absence.
  • Daily administration of all current leaves including the following associated tasks:
  • Tracking Time Off: Responsible for tracking time off for all leaves, including intermittent leaves, and calculating leave entitlement for all colleagues on leave. • Benefit Administration for Colleagues on Leave:
  • Responsible for tracking benefit payments, following up on delinquent payments, cancellation of benefits for non-payment (when applicable), and forwarding notification to the COBRA Administrator (when applicable for the offering of COBRA).
  • Assist with the enrollment of children onto the health plan when it is known that the leave of absence is for the purpose of childbirth or adoption. In addition, when the leave of absence is for the colleague's own serious health condition and the colleague is enrolled in short-term disability coverage, responsible for assisting the colleague in filing the STD claim with MetLife.
  • Physician Certifications (FMLA Only): Responsible to follow-up with MetLife on the status of physician certifications, following up on re-certifications, following up on delinquent certifications, and following up on incomplete certifications.
  • Customer Service: Responsible for addressing all questions/concerns from colleagues, managers, or HR Representatives.
  • Coordinates with MetLife on notification to individuals who have exhausted their leave entitlement.
  • Works closely with HR to administer the interactive process for ADA to ensure the organization is compliant with accommodation requirements related to ADA.
  • Works closely with the compliance team and HR to ensure compliance with state and federal leave laws. This includes coordination to provide required communication to colleagues about applicable law changes, and development of internal processes to ensure compliance.
  • Supporting the mission and direction of the organization.
  • Other duties as assigned.

Qualifications

  •  Education Level: Bachelor’s Degree with a major in Human Resources or a related field of study from an accredited college or university, or equivalent education and experience
  • In lieu of higher education, the ratio is 1:1 meaning one year of college equals one year of work experience and vice-versa.
  • Customarily has at least three (3) years of Human Resources experience with a general knowledge of leave and ADA administration.

  • The ability to properly handle sensitive and confidential information (including HIPAA and PHI) in accordance with federal and state laws and company policies
  • Strong knowledge of FMLA regulations and compliance requirements.
  • Excellent organizational skills, with the ability to manage multiple competing priorities and deadlines.
  • Exceptional attention to detail to ensure accuracy and completeness of documentation.
  • Excellent communication skills, both written and verbal, with the ability to effectively explain complex information to employees and stakeholders.
  • Ability to handle sensitive and confidential information with discretion and maintain a high level of professionalism.
  • Proficient in using HRIS (Human Resources Information System) and other software applications for managing employee records and leave tracking; knowledge of Oracle HRMS, or a related software package, is highly desirable, but not required.
  • Proficient in all Microsoft Office programs.
  • Strong problem-solving skills, with the ability to independently research and analyze leave-related issues.
  • Ability to work collaboratively in a team environment and build effective relationships with employees, supervisors, and HR team members.
  • Knowledge of other leave laws and regulations, such as ADA (Americans with Disabilities Act), is an advantage.
  • Strong customer service orientation, with the ability to provide empathetic support to employees during challenging times.
